PAIA Manual

This manual is published by Kinara Consulting (Pty) Ltdin terms of section 51 of the Promotion of Access to Information Act, 2 of 2000 ("PAIA"), which entitles any person to request access to records held by a private body, subject to the grounds for refusal set out in PAIA.

B. Guide to using PAIA

The South African Human Rights Commission publishes a guide, as required by section 10 of PAIA, to assist any person wishing to exercise their rights under the Act, including the procedure for lodging a request and the fees involved. It is available from the South African Human Rights Commission.

C. Records available without a formal request

Some information about Kinara Consulting and its products is voluntarily published and does not require a PAIA request, including this website (kinaraconsulting.co.za) and this manual and our Privacy Policy.

D. Categories of records held

Kinara Consulting (Pty) Ltd is a single legal entity operating multiple software products. The categories below cover records held across the whole entity, including through each product. Some of these records contain personal information as defined by POPIA — where a product has its own privacy policy, that policy explains the detail of how personal information collected through that specific product is used; this manual is the comprehensive record inventory across all of them.

  • Enquiry records — details submitted through this website's contact form (name, email, business context)
  • Client and engagement records — correspondence, proposals, contracts, and project documentation arising from a consulting engagement
  • Company records — statutory, financial, and administrative records required to operate the business

Qlaim (qlaim.co.za)

QR-code based cashless payment and rental deposit platform. Records held include: merchant, organiser, and rental operator account details (name, email, business name, PayFast merchant credentials, supervisor PIN); consumer booking and purchase records (name, email, phone number, and where relevant to fitting a rental item, measurements such as height or head circumference); transaction and token records (purchase and redemption timestamps, payment references); and, only where a merchant or operator has given consent, aggregated business data submitted to Anthropic for the optional AI Business Summary feature. Nahshon SPLT (nahshon.co.za)

Sales performance and lead-tracking platform used by client organisations (e.g. estate agencies) to manage their own sales teams. Records held include: manager and agent account details (name, email, role, branch); and lead and call-activity records entered by those users (a lead's name, phone number, and call notes). For lead records specifically, the client organisation using Nahshon is generally the responsible party for its own leads' information — Kinara Consulting holds this data as an operator on that organisation's behalf, within the Nahshon platform. Iddan PFT (iddan.co.za)

Process flow tracking platform for tracking jobs/components through configurable production or process stages. Records held include admin and operator account details (name, email) and stage-scan records, which may be linked to the operator who performed a scan. Iddan does not yet have a live client processing real production data; its own product-specific privacy policy will be published before that happens.

E. How to request access to a record

A request for access to a record must be made by:

  1. Completing the prescribed PAIA request form (Form 2, or the applicable form under the PAIA Regulations) — or using the request form below
  2. Submitting it to the Information Officer using the form below, or in writing to the postal address above
  3. Providing sufficient detail to identify the record requested and proof of identity
  4. Paying the prescribed request fee, and any further access fee, as set out in the PAIA Regulations

We will respond within the timeframes prescribed by PAIA. A request may be refused only on the grounds permitted under PAIA, and any refusal will state the reasons and the internal/external remedies available to you.
